We do not publish a market hourly range or charge from an advertised hourly rate card. Our offer uses a fixed quote against a written scope. Builds start at $3,500 AUD, typical projects are $3,500 to $12,000 AUD and complex AI agent systems are $12,000 to $25,000 AUD. Care is $750 to $2,500 AUD per month.
Ask what the quoted hours buy
Hourly work can suit an uncertain investigation, a bounded repair or a team that already owns clear requirements. Establish a spending cap, an update point and what the consultant should return if the issue is still unresolved. Paying for an investigation is reasonable when the deliverable is a diagnosis and next options.
A fixed scope can suit a defined business process with agreed acceptance tests. It gives you a clearer build fee, but only if inputs, exclusions and change rules are explicit. A fixed price without a delivery boundary can leave just as much uncertainty as an open time estimate.
Avoid comparing a few canvas-editing hours with an end-to-end project. The latter may include source review, permissions, data matching, duplicate prevention, testing, deployment, monitoring and handover. Ask each provider to show where those activities sit in the proposal.

Compare deliverables before multiplying a rate
Imagine an original fictional job that moves an accepted workshop booking from a form into a CRM. Proposal A includes a successful form-to-record path. Proposal B also matches returning customers, holds conflicting dates, confirms the saved CRM value and supplies a recovery procedure. They are different purchases even if both are called one workflow.
Write down the missing work before comparing totals. If your team will provide clean IDs, maintain the platform and handle rejected records, Proposal A may be enough. If those jobs have no owner, its apparent saving may simply shift effort and risk into your business.
For an hourly quote, multiply the supplied rate by the agreed estimate, then add clearly priced testing, handover and operating costs. Ask what happens at the cap. Use the actual quotes in front of you so the comparison reflects the work you are buying.
What makes an n8n engagement larger
The exact operation matters more than an app logo. Reading a record, receiving a dependable change event and writing a permitted update are separate capabilities. An existing node does not by itself establish that the required operation is available on your account plan.
Record quality changes effort. If two systems lack a shared ID, matching and reconciliation need rules. If the input is a changing document rather than a known field, extraction and review need examples. If the output can send money or make a customer commitment, approval and recovery require more care.
Hosting also changes responsibility. n8n documents self-hosting on your own infrastructure and different self-hosted editions. Configuration and operation still need an owner with the relevant skills. A proposal should identify who manages infrastructure, updates, encryption-key custody, backups and restore tests. The application licence and infrastructure bill are separate from a consultant's fee.
How our published prices fit

Care is $750 to $2,500 AUD per month, with the responsibilities agreed in writing. Platform subscriptions, hosting and AI usage remain separate in your accounts. We do not infer GST treatment, incident response times or unlimited revisions from a price range.
The paid audit establishes the process map, opportunities, dependencies and build scope. Its fee is agreed before work and credited on signing. The audit is not assigned a made-up hourly equivalent or a fixed price borrowed from the build tiers.
Choose the spend the process can support
Estimate the work released after ongoing review, then distinguish theoretical capacity from costs actually avoided. Include care, software and internal operating effort. A lower build fee does not rescue a process whose monthly cash benefit is less than its recurring cost.
Use a downside case as well as your preferred case. Reduce the share that can be automated, increase review time and allow for a busier month of software use. If the decision changes under a small adjustment, collect better evidence or reduce the first scope.
A good engagement leaves you with something useful even when the answer is to pause. That can be a documented limitation, a tested small process or a clearer operating baseline. Ask for that decision point before paying for a broad programme.
Calculate a hypothetical hourly investigation from the supplied quote
Suppose a provider quotes $150 AUD an hour for a capped investigation of a failing request-to-CRM handover. This is a deliberately chosen arithmetic example, not SAA's rate and not an Australian market estimate. The provider proposes a maximum of eight hours before a review. The initial spending boundary is therefore $1,200, with no permission to continue beyond the cap until you decide what happens next.
A useful investigation deliverable would identify the failing condition, the affected records, the permissions or application behaviour involved and the options for repair. It should also distinguish what the provider observed from what remains a hypothesis. If the issue cannot be reproduced within the cap, you still need a record of the checks performed and the evidence required to continue.
Now suppose the investigation identifies a bounded repair estimated at another six hours at the same assumed rate. That adds $900. If testing and handover require four more hours, add $600. The combined hypothetical spend becomes $2,700 before any separate operating cost. Asking whether those last four hours are included changes the comparison more than debating the headline rate alone.
Keep the approval point between diagnosis and implementation. You might choose to repair the current workflow, replace part of it or stop because the underlying operation is unsupported. The investigation fee pays for reducing uncertainty. It should not be represented as a guarantee that the full production problem will be solved inside the first time cap.

Compare that investigation with a complete fixed scope
For a different comparison, imagine a fixed quote of $6,000 AUD to replace the whole handover. Again, this is a fictional proposal used to explain the decision. The scope includes the current request form, a stable customer match, a held queue for missing information, a confirmed CRM update, acceptance records and an operating walkthrough. It excludes historical data cleanup and adding another business unit.
Dividing $6,000 by the hourly rate from the earlier example would produce forty hours, but it would not establish that the fixed provider plans to spend forty hours or that the two offers are equivalent. The provider may price risk and delivery responsibility differently. More importantly, one proposal is a diagnosis and possible repair while the other promises a defined replacement process.
To compare them, ask what the repaired process would still lack. Does it keep the existing matching policy? Will your staff still resolve uncertain writes without instructions? Is the source data good enough to avoid duplicate records? If the repair returns a useful process that your team can already operate, replacing everything may be unnecessary. If important responsibilities remain unowned, the smaller initial invoice may leave a larger operating burden.
The fixed quote also needs change rules. What happens if your account cannot perform the required update, the sample data omitted a common exception or you add a new approval step? Ask the supplier to distinguish a defect against the agreed scope from a new requirement. That discussion makes a fixed fee meaningful without pretending every discovery can be predicted before work begins.
Add a full year of operation without double counting
Use another explicit set of assumptions to compare operating cost. Suppose the fictional $6,000 build is paired with $900 a month of care, $120 a month of incremental platform and hosting cost and $180 a month of internal review. Those recurring lines total $1,200 a month. Twelve steady operating months cost $14,400, making the first-year total $20,400 including the build.
The $900 care assumption sits within SAA's published range, but it is not a quote for this fictional process. The $120 software figure is also an assumption rather than a vendor plan price. Replace both with the actual scope and vendor charges before using the calculation in a buying decision. Agree a consistent basis for any tax treatment instead of inferring it from the example.
Include only the additional software spend created by the proposed change when estimating incremental payback. If your business already pays for the CRM and the build does not change its plan or usage bill, charging the whole CRM subscription to this project can overstate the incremental cost. If a new plan is required for the intended operation, its additional cost belongs in the comparison.
Avoid counting the same work twice. If the care fee includes a particular operational review, do not also add that review as an internal labour cost unless your team genuinely repeats it. Conversely, a care plan that watches technical failures may leave business decisions and drafted-response approval with your staff. Name each responsibility and cost it once. That produces a more useful number than assuming the word care covers everything.
Leave a rate conversation with a bounded next step
Bring a failing record or a clearly defined process, the expected output and any recent change that may be relevant. Explain the effect on the business and the access you can provide. That helps a consultant distinguish a small repair from a broader matching, permissions or process problem without making a promise from an app name alone.
Ask for the first decision point in writing. For time-based work, that means the cap, deliverable and update point. For fixed work, it means the accepted output and exclusions. For care, it means the monitoring and recovery responsibilities. These are different commitments, and you should know which one the quoted fee buys.
Finally, compare the proposed spend with the process baseline. An economical rate applied to low-value work can still be an expensive decision. A larger fee can be reasonable when it buys a complete outcome your business needs and can operate. The useful question is whether the full scope earns its place in your business, not whether one hourly number looks low enough.
Price inherited work with its history in view
An existing workflow can be quick to understand or surprisingly difficult to change. Gather its current version, the expected output, a failing record and any recent change in credentials, application plans or business rules. Explain whether anyone has already retried the action manually. That last detail can determine whether the next step is a safe replay or a check for duplicate work.
Ask the consultant to record the starting state before editing. A useful repair leaves a description of the fault, the change made and the test evidence showing the intended result. If a dependency still limits the system, retain that finding in the handover. Otherwise, the next operator may repeat the same investigation and your business pays again for knowledge that was never kept.
The age of a workflow is not enough to decide whether it should be replaced. Compare the cost of understanding and repairing it with the cost of reproducing its actual behaviour, including the awkward exceptions it already handles. A replacement that looks cleaner but loses an important approval or matching rule is not equivalent scope.
