Remote discovery follows the actual work

We begin with the person who owns the process and the people who use its output. A screen share can show where a job waits, what information gets copied and what changes after an approval. We ask for representative records and the rules behind them, using synthetic or appropriately redacted material before production access is needed.

For a business with several locations, establish whether each branch follows the same rules. Service areas, cut-off times, approval limits and local capacity may differ. The system needs an explicit source for those differences rather than silently copying the head-office process everywhere.

The output is a written scope with named inputs, accepted results, account dependencies and a person responsible for unresolved decisions. We keep data cleanup, historical migration and new ongoing work distinguishable so the first build has a useful boundary.

Put business hours beside the process owner

A nationwide workflow needs more than one time field. Record the event time, the relevant location and the time zone used by a deadline. A request received late in one branch's day should not be treated as due during another branch's opening hours unless that is the agreed rule.

We agree working sessions and communication expectations in the scope. Melbourne is our base, but that does not imply a national roster or round-the-clock staffed support. Your escalation owner, coverage and response commitments must be explicit before the system carries time-sensitive work.

During acceptance, include a request close to a cut-off and a handover between locations. Ask the receiving person to explain the due time in their own working context. If they need to guess which clock a deadline means, the record is not ready.

Choose the data path, not just the hosting label

Australian hosting can be an architectural choice for n8n, but the selected application host is only part of the path. Your CRM, AI provider, message service, logs, backups and support access each need consideration. We document the proposed path and raise the choices that require your organisation's own review.

Keep production credentials in the appropriate account and grant only the access the work requires. A remote workshop does not require copying an entire customer database into a public demonstration. Acceptance can begin with original test records and limited access, then progress through the permissions you approve.

At handover, the account owner should know who pays the dependencies, where the configuration and exports live and how access is removed when a person leaves. Ownership is an operating practice as well as a sentence in a proposal.

Acceptance belongs to the people receiving the work

A builder can show that a workflow ran. Your process owner needs to establish that the output is useful. Agree the expected record, required fields, exception states and saved-result checks before implementation. Use the same test packet in the walkthrough and acceptance review.

We include an ordinary item, a missing value, a repeated request and a changed instruction. The held record should tell a person what is missing and how to resolve it. A stopped unsafe action can be the correct result. An unexplained absence of work is different.

The final handover should leave your team able to identify the current scope, locate the operating instructions and explain who handles the next exception. If a new branch or business unit later needs different rules, that becomes an explicit change to the owned process.

Each location needs to know which owner receives an exception and which manual path keeps the work moving. A time-sensitive handover must carry the applicable business window.

We account for a failed run, an empty result and a run that never starts. Your written care scope names alert ownership, recovery responsibilities and change boundaries. Support commitments belong in that scope.

Care is month to month and can be cancelled without penalty. You keep the system and its documentation, with no lock-in.

Where is Scaled AI Automation based?

We are based in Melbourne and serve Australian businesses remotely. This page describes that delivery model and service area. It does not represent a network of local offices.

Can you work with teams in different Australian locations?

Yes. We scope the process across the relevant teams, including local operating rules, decision owners and deadlines. We agree workshop and support arrangements in writing rather than assuming every location works the same way.

Do we need to replace our current software?

Not necessarily. We first check the exact triggers, records and permitted actions in your existing accounts. Sometimes a limited configuration change is enough. Unsupported operations or plan limits need to be resolved before a build promise.

Does Australian hosting mean all data stays in Australia?

No. Connected SaaS, model providers, logs, backups and support access can create additional data paths. The whole design needs review. Hosting location alone is not a compliance guarantee.

Do your monthly care prices include 24-hour support?

Do not infer coverage or a response time from the price band. Care is $750 to $2,500 AUD per month, with monitoring, escalation and maintenance responsibilities agreed in the written scope.

Who owns the automation after handover?

You own the accounts, workflows, documentation and exports. We provide a recorded walkthrough. Care is month to month and can be cancelled without penalty. There is no platform-account resale or lock-in.
